Terms &Return Policy

These terms apply to all business-to-business (B2B) quotations, pro forma invoices and orders placed with Zhongshan Huazhe Trading Co., Ltd. ("Huazhe Server"). We supply server CPUs, ECC memory, enterprise SSDs, RAID controllers, network adapters and GPUs to business customers only. Placing an order or paying a pro forma invoice constitutes acceptance of these terms.

Every quotation states part number, condition (new / sealed / refurbished), quantity, unit price, lead time and validity window. Unless stated otherwise, prices are quoted in USD and remain valid for three business days; memory, GPU and CPU spot prices can move faster, and we will always reconfirm before you pay. Pricing does not include destination duties or taxes unless a DDP quotation explicitly says so.

An order is confirmed when we receive payment or an agreed deposit against the pro forma invoice. We accept T/T bank transfer and irrevocable L/C at sight for qualified orders. Production, kitting and pre-shipment testing begin on confirmation; bank charges are borne by the remitter.

Condition is declared per line item and never implied. Tested batches ship with their test report — platform, firmware, burn-in hours and measured results. Photos of actual units are available for any line before payment; see the product lines for specification envelopes.

Please inspect shipments within 7 calendar days of receipt: count cartons, verify part numbers and serial numbers against the packing list, and power on a sample where practical. Report discrepancies to your account engineer in writing; claims filed after this window are harder for carriers and insurers to honour.

Warranty runs 3–5 years from invoice date depending on the product line (stated on your invoice). It covers functional failure under normal operating conditions and excludes physical damage, incorrect installation, overclocking beyond vendor specification, and third-party firmware modification.

Units dead on arrival (reported within 30 days of receipt) qualify for advance replacement — we ship the replacement before the return arrives where stock allows.

For in-warranty failures, email your account engineer with serial numbers and the failure description; we issue an RMA number and a test-at-lab appointment. Verified failures are repaired, replaced or credited, and return shipping for verified DOA and warranty cases is paid by us.

Non-defective returns require prior RMA approval within 14 days of receipt, must be unused and in original packaging, and carry a 15% restocking charge. Kitted, private-labelled, firmware-customised and special-order (non-stock) items are not returnable unless defective.

We screen orders against applicable export-control and sanctions lists. Certain GPUs and high-performance accelerators are subject to export regulations; where a part cannot be exported to your destination we will say so at quotation stage and offer compliant alternatives.

Our total liability for any order is capped at the amount paid for the affected goods. We are not liable for delays or non-performance caused by events beyond reasonable control — customs holds, carrier disruption, natural events or supplier allocation changes — but we will always offer a refund or a workable alternative.

These terms are governed by the laws of the People’s Republic of China. Disputes are first resolved by friendly negotiation between the parties; failing that, they are submitted to a mutually agreed arbitration institution for binding arbitration.
